Submitting via email
Send contracts from your inbox without signing in to the portal. Arceus acknowledges receipt and creates a contract record automatically.
If you submit by email, estimate, clarification, and delivery notifications arrive by email and the portal, the same as portal submissions.

Before you start
Your sender email must be on the authorized list for your Arceus account. Contact your account team to add or remove authorized addresses.
Which address to use

Manage personal aliases on Profile under Intake addresses (up to five per account).
How to submit
- Compose a new email from an authorized address.
- Send to your personal intake alias or contracts@arceus.legal.
- Attach your contract as a
.docxfile. - Write a few sentences in the email body with deal context.
- Send.
The email body is stored as context for your reviewer. Plain language is fine.

NDA from a prospect:
Subject: NDA review — Nova Systems demo
Hi team,
Attached is an NDA from Nova Systems. We have a product demo on Tuesday and they
won't walk us through their use case until we sign. Can you let us know if this is
okay to sign as-is or what we should push back on?

Subject: Datadog order form
Attached is the order form for our Datadog upgrade (~$40k/year). We're buying.

File requirements

PDFs are not accepted. Multiple attachments may create separate contracts. Say in the body which files matter most if you send several at once.
What happens after you submit
Received → Estimate Approval → Assigned → Reviewing → Ready
Track status on the portal or wait for email at each milestone.
When your estimate is ready
Arceus emails a link to the contract page. Approve or Deny there or from the email link. See Approving an estimate.
Clarifications during review
Reply to the Arceus email thread. Example:
We're fine with their standard payment terms. We can't agree to exclusivity in this market.
When your review is ready
You receive a Your contract review is ready email with the redlined .docx attached. See Receiving your review.
Unauthorized sender
If your email is not authorized, our team will follow up. Contact your account team to update authorized emails before resubmitting.
Tips
- Put context in the email body, not only in the attachment filename.
- Include counterparty name, what the deal is for, and your deadline.
- Use your personal intake alias when you have one.
